Access Projects in the Vault

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. View all projects you are a member of.

Failed to View Projects Tab in Vault
You cannot view the projects tab in the right panel in your vault.
Ask Admin for Project Viewing Permissions
Ask your admin to grant you permissions to access your projects in your vault.

To Project Manager

To allow a user to access their project(s):

  1. In the Management section, click the Users section in the left panel.
  2. Select the appropriate user to update permissions.
  3. Click the Open Overlay button in the top right.
  4. In the new window, go to the Manual permission management section.
  5. Under Basic Project Interaction section, tick the View projects they are a member of permission.
  6. Once done, click Close.

View Project Details in the Vault

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project you wish to view.
  4. Select Open overlay.

To Project Manager

Prerequisites

  • Ensure the user is a project member.
  • Ensure the project member satisfies all project security requirements.
  • Check the user's permissions in project.
To allow a user to view the projects' details:

  1. In the Management section, click the Users section in the left panel.
  2. Select the appropriate user to update permissions.
  3. Click the Open Overlay button in the top right.
  4. In the new window, go to the Manual permission management section.
  5. Under Basic Project Interaction section, tick the following permissions:

  6. View projects they are a member of.
    View other members in projects they are a member of.
    View own security requirement certifications.
  7. Once done, click Close.

Switch Between Projects' Tree-View and List-View from the Vault

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Tree view button in the top right panel.
  4. View the projects in tree-view.
  5. Click the Tree view button in the top right panel.
  6. View the projects in list-view.

Create a New Project from the Vault

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Create top-level project button in the top right panel.
  4. In the pop-up, enter the project name, tag name, tag color, optional security level, PI, description, custom fields and expiration date.
  5. Click Create.

  • PI stands for Principal Investigator.
  • Newly created projects become available after you re-login.

Created Project Successfully

Cannot Find Newly Created Project/Subproject
You cannot find the new project in your Vault or Management tabs after creation.
Ensure You Re-login After Project/Subproject Creation
Re-login to view the newly created project/subproject.
Refused to Enter Project Name
You must enter a name.
Enter Project Name
Enter the project name in the Name field in the Create new project prompt.
Refused to Enter Project Tag Name
Must be at least one character.
Enter Project Tag Name
Enter at least one character for the project tag name in the Tag Text field in the Create new project prompt.
Refused to Enter Project Expiration Date
You must provide a value.
Enter Project Expiration Date
Enter the project expiration date in the DATE DUE field in the Create new project prompt.
Cannot View the Create Top-level Project Botton
You cannot find the Create top-level project button in the top right panel in the Vault.
Ask Project Creation Permissions from Admin
Ask your admin to give you project creation permissions. Additionally, ask for subproject creation permission as needed.

To Admin

To allow project members to create new projects/subprojects:

  1. In the Management tab, click the Users section in the left panel.
  2. Select the appropriate user to update permissions.
  3. Click the Open Overlay button in the top right.
  4. In the new window, go to the Manual permission management section.
  5. Under Basic Project Interaction section, tick the View projects they are a member of and Classify resources with projects they are active in permissions.
  6. Under Project Administration section, tick the Create root-level projects permission.
  7. Optionally, under Project Management section, tick the Create subprojects of projects they manage permission.
  8. Once done, click Close.

Add New Members to a Project from the Vault

bulk-action

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project you wish to add new members to.
  4. Select Manage member(s).
  5. In the pop-up, enter the new members' name(s), optional membership(s) expiration, role, restrictions and membership renewal.
  6. Click Save.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project you wish to add new members to.
  4. In the new window, select the Members section in the top left panel.
  5. Click the Add users to the project button in the top right panel.
  6. In the pop-up, enter the new members' name(s), optional membership(s) expiration, role, restrictions and membership renewal.
  7. Click Save.
caution

New project members must have the appropriate certifications to view project-tagged resources.

Ask the Project Manager to Grant you Permissions
To view project members in project, you must ask the project manager to allow you to view the other project members.

To Project Manager

To allow project members to view the project members table:

  1. In the Management tab, click the Users section in the left panel.
  2. Select the appropriate user to update permissions.

  4. In the new window, go to the Manual permission management section.
  5. Under Basic Project Interaction section, tick the View other members in projects they are a member of permission.
  6. Once done, click Close.
Unable to Add New Project Members
Failed to add user-name to project-name: Must be a manager (SubAdmin or above) to execute.
Ask Your Project Manager to Add New Project Members
To add new project members, you must ask the project manager to either change your role to sub-admin (project manager) or to add new members for you.

Edit Project Details from the Vault

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project you wish to edit.
  4. Select Edit.
  5. In the pop-up, edit the project & tag name, tag color, optional security level, PI, description, custom fields and expiration date.
  6. Click Update.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project you wish to edit.
  4. In the new window, click the Edit project button in the top left panel.
  5. In the pop-up, edit the project & tag name, tag color, optional security level, PI, description, custom fields and expiration date.
  6. Click Update.

Ask the Project Manager to Change Your Role
Ask the project manager to change your user role to Sub-Admin, or have them edit the project details for you.

To Project Manager

To allow project members to edit projects, you must perform the following actions:

  1. In the Management tab, click the Users section in the left panel.
  2. Select the appropriate user to update permissions.
  3. Click the Open Overlay button in the top right.
  4. In the new window, go to the Manual permission management section.
  5. Under Project Administration section, tick the Arbitrarily edit any project permission.
  6. Once done, click Close.
*Additionally, ensure the user has Sub-admin role or above (Admin or Super-Admin).

Edit Project Members' Details from the Vault

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project whoose members you wish to edit.
  4. In the new window, select the Members section in the left panel.
  5. Select the member(s) you wish to edit.
  6. Click the Open Full Menu button in the top right panel.
  7. Select Edit.
  8. In the pop-up, edit the user's membership expiration, role in the project and restrictions.
  9. Click Save.

When bulk editing project members' details in the pop-up, untick the following boxes to apply changes.

  • . Keep expiration unchanged.
  • . Keep role unchanged.
  • . Keep restrictions unchanged.

Assign a Project to Sub-Admin(s) from the Vault

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project you wish to assign to a subadmin.
  4. Select Assign to subadmin(s).
  5. In the pop-up, enter the subadmin name(s) you want to assign the project to.
  6. Click Assign.

Unable to view the appropriate sub-admin name in the Assign to sub-admin prompt.
Promote User to Sub-Admin
You must change the user role to sub-admin role. Alternatively, you can ask the project manager to change the user role to sub-admin.

To Project Manager
To change user role to sub-admin follow the steps in in Change Role of User(s) in Management.

Create a Sub-Project in the Vault

Method one:

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project you wish to create a subproject from.
  4. Select Create subproject.
  5. In the pop-up, enter the subproject name, tag name, tag color, optional security level, PI, description, custom fields and expiration date.
  6. Click Create.

Method two:

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project you wish to create a subproject from.
  4. In the new window, select the Subprojects section in the left panel.
  5. Click the Create new subproject button in the top right panel.
  6. In the pop-up, enter the subproject name, tag name, tag color, optional security level, PI, description, custom fields and expiration date.
  7. Click Create.

Make an Announcement in the Project from the Vault

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project where you wish to make an announcement.
  4. Select Make an annonuncement.
  5. In the pop-up, enter the message for the members of the project.
  6. Click Send.

Delete a Project from the Vault

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the Open Full Menu button by the project you wish to delete.
  4. Select Delete.
  5. In the pop-up, click Delete project to confirm.
caution

Projects with active members or subprojects cannot be deleted. You must first remove all members and subprojects.

View Sub-Projects of a Project in the Vault

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project you wish to view the subproject(s) of.
  4. In the new window, select the Subprojects section in the left panel.
  5. View all the subprojects you have access to in the right panel.

View Project Members' Certifications from the Vault

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project for which you want to view the members' certifications.
  4. In the new window, select the Member Certifications section in the left panel.
  5. View all member certifications accessible to you in the right panel.

Certify a User for a Project from the Vault

bulk-action

  1. Go to the Vault icon in the top left panel.
  2. Click the Projects card on the right panel.
  3. Click the project in which you want to certify users.
  4. In the new window, select the Member Certifications section in the left panel.
  5. Click the Certify user(s) for a security requirement button in the top right panel.
  6. In the pop-up, select the requirement, the user(s) to be certified, their expiration date, and the certification attempt renewal.
  7. Click Certify.
note
  • Ensure that your project infrastructure includes security levels and requirements before certifying users for a project or subproject.
  • Tick the Never expires box to make project members' certificates active indefinitely.

In the Certify user(s) for a requirement prompt, select an expiration date for the certificate. Alternatively, tick the box Never Expires if the certification is active indefinitely.
